Functionality Available on Plan Board

From the Plan Board interface, you can perform multiple actions relating to the listed Tasks.

To access this functionality, select the desired record and right click. From this screen you can:

1.        Assign – This allows you to assign Carers to a Task.  If the Task already has an assigned Carer, you can choose to reassign that Task to a different Carer.  Alternatively, you can assign the new Carer without unassigning the other Carer, thus creating a Group Task. 

There are multiple options for Assigning/Reassigning a Task. You can:

§  Manually assign a Carer (refer to àManual Carer Assignment)

§  Find a suitable Carer (refer to à Find Suitable Carer)

§  Access the Rota Assignment screen (refer to à

§  Rota View)

2.        Cancel an Appointment – If the Task you wish to cancel has a Priority Level set to High, a message will appear asking you if you are sure you want to proceed with the cancellation.

When cancelling a Task, you are given six options:

§  Cancel Visit, Payroll and Billing (everything is cancelled)

§  Cancel Visit and Payroll but Send to Billing (the Client will still be billed based on the scheduled Task Time)

§  Cancel Visit and Billing but Send to Payroll (the Carer will still be paid based on the scheduled Task time)

§  Cancel Visit but Send to Payroll and Billing (the Client will be billed and the Carer paid based on the scheduled Task Time)

§  Cancel Visit but send 1/2 to Payroll and Billing (the Client will be billed and the Carer paid for half the scheduled Task time)

§  Cancel Visit but send Fixed Amount to Payroll and Billing (this fixed amount is defined in the Setup area of the InnovaCare application)

3.        Mark Attendance - This allows you to manually record a Carer’s attendance via InnovaCare.  This is generally used when a Carer cannot access the IVR system (e.g. if a Client does not have a telephone).

4.        View Task Details – This allows you to view a breakdown of a Task (i.e. what specific services were provided). This remains empty until the Carer has completed the Task and reported all pertinent information to the Staff.  Then the details should be entered into this column.

5.        Add Log/Notes – This allows you to record any Notes or issues relating to the Task. These can then be accessed from the Profiles of the relevant Client and Carer.

6.        Call Given – This allows you to indicate if a call was received either from the Client or the Carer in relation to the Task in question.

7.        View Profile – This allows you to access any Profiles (Client/Carer/Facility) attached to the Task in question.

8.        Task Service Time – This allows you to quickly change the start and end time/date of the Task.

9.        Add Expense – This allows you to add an individual Expense to the Task in question, which will be captured in the Client’s billing. This will also appear in the Carer’s payroll.

10.     View Service Log – This records and provides details on all of the updates that have occurred in relation to this Task, including status updates.

11.     Unassign Carer – This allows you to unassign a Carer from a particular Task (for example, where the Carer has called in sick).  If the Client is High Priority, you will be alerted on the Plan Board.

12.     Clients – This allows you to see if a particular Task has both a Client and a Non-Primary Client.

13.     Revert Task – Once the Task has been set to In Progress or Completed, you can use this option to revert the Task status to Delayed.
